What the SnagBane Free plan includes (and when you need Business)

A common assumption is that SnagBane is only for large companies with Microsoft 365 or Google Workspace. It isn't. The Free plan is the complete application for teams of up to 25 people, on as many installations as you like, with no time limit and no licence key. Business and Enterprise add connections to company directories and other systems — not the core of the product.

Who counts towards the 25 people

The limit counts active accounts in SnagBane, in any role. People who never sign in don't count:

• Respondents filling in a public form or a link you send them.
• Approvers who decide from the email — every approver gets a personal link and doesn't need an account.

So a team of 10 people can run requests for a company of hundreds, as long as most people only fill in forms or approve from their email.

What is included on Free

Forms

• The full form builder with 30 question types: repeating tables, calculations, signatures, amounts, addresses, date ranges, file uploads, rankings, grids and more.
• 118 ready-made templates in 14 categories, 37 of them with approval stages already set up.
• Conditions, branching as side-by-side columns, calculations, quizzes, places per option and dependent lists.
• Bring your form: import Microsoft Forms and Google Forms links and InfoPath templates (.xsn), or paste your questions from Word.
• Save and resume, edit links, receipts and a PDF of every response.
• Forms in 33 languages, and one form in several languages for its respondents.

Approvals

• Any number of approval stages, each with its own condition (Finance only when the total is over 500) and its own rule (one approver decides, or everyone must approve).
• Approve or reject from the email, with a comment; or from the inbox in SnagBane, with bulk approve.
• Reminders and due dates, an overdue list on the dashboard, Change approver and Remind now.
• No approving your own request — on by default for new stages, also for administrators.
• Requesters follow their requests under My requests and can withdraw them.
• Actions run after the final decision: a row, an email or a webhook only once the last stage approves.

Portals and teams

• Portals — one page where employees find every form and see the status of their requests, in 20 looks.
• Workspaces for departments, with roles (Owner, Admin, Editor, Viewer, Respondent) and groups.
• Branding: your logo, colours, fonts and login page; light and dark mode.

Integrations and automation

15 integrations work on Free: email (SMTP and the common providers), HTTP request, Mailchimp, Kit, Brevo, ActiveCampaign, MailerLite, HubSpot, Airtable, Notion, Dropbox, Discord, Telegram, Twilio SMS and export to a folder on your server. Signed webhooks connect Make, n8n or your own systems.

Security and administration

• Your own server and database; secrets encrypted with your key.
• Two-factor authentication, an audit log of every request, decision and change, and access rules per form and portal.
• One-click updates, signed and verified before they install.

What Business adds

Business is for companies that want SnagBane connected to the systems they already use. It includes everything in Free, plus:

• Sign-in with Microsoft 365 (Entra ID), Google Workspace, Okta or any SAML 2.0 provider, with groups.
• Directory people pickers and prefill — the requester's manager, department and job title straight from the directory.
• Microsoft 365 and Google integrations: SharePoint lists and files, Excel, Outlook mail and calendar, Teams channels, Google Sheets, Drive, Gmail, Chat and Calendar.
• Approvals in Microsoft Teams and portals as Teams apps.
• Slack, Amazon S3, Jira, ClickUp, Asana, monday.com, Trello, Dynamics 365 and Salesforce.
• E-signatures with DocuSign, Adobe Acrobat Sign and Dropbox Sign; payments in forms with Stripe and PayPal.
• Power Automate, Zapier, the REST API and the phone app with notifications for approvers.
• Choices from SharePoint lists, Excel tables and Google Sheets; white-label.

What Enterprise adds

Enterprise is Business plus the security package for regulated companies: audit log streamed to your SIEM (Microsoft Sentinel, Splunk, Elastic), a data retention policy, sign-in limited to chosen directory groups, automatic offboarding when people leave, an IP allowlist and SCIM provisioning from Entra ID and Okta. It also includes a second licence activation for a staging server.
